Far and Ride Privacy Policy
Last updated: 4th February 2026
We respect your privacy. We do not use tracking cookies. We do not sell your information. This policy explains what data we collect, why, and what we do with it.
Who we are
We are Far & Ride Ltd, a UK company (company number 05465836) that arranges horse riding holidays worldwide.
Our registered address is Chestnut Lodge, 45A Church Street, Langford, Biggleswade, SG18 9QT.
You can contact us by email at info@farandride.com, or by phone on +44 1462 701110.
We are the data controller for the personal information described in this policy. We are not required to have a Data Protection Officer, so any questions about your data should be directed to us using the contact details above.
Does Far and Ride use cookies?
No. Our website does not use cookies of any kind — no tracking cookies, no session cookies, no third-party cookies. We designed it that way on purpose, and it means you won't see a cookie banner on our site either.
When you browse our website
We compile anonymised web analytics using our own in-house system. This records page view counts and whether a visit came from an external source (such as a search engine). We cannot tie any of this data to individuals. We use it to understand which pages are popular and to spot problems with the website.
Legal basis: Legitimate interest — understanding how our website is used so we can improve it.
When you get in touch with us
When you contact us via our website contact form, by email, or by phone, we collect whatever information you provide — typically your name and email address, and the details of your enquiry.
We use this to respond to your enquiry and, where appropriate, to follow up with you about our riding holidays. Your enquiry is stored as an email by our team.
Legal basis: Legitimate interest — responding to your enquiry and providing you with the information you need to plan a trip.
When you book a ride with us
When you book a riding holiday, we collect additional information in order to arrange your trip safely and properly. This typically includes:
- Your full name, email address, phone number, and postal address
- Passport or travel document details (where required by your destination)
- Emergency contact details
- Information about your riding experience and ability
- Your weight (relevant to horse selection)
- Any health conditions relevant to your trip
- Dietary requirements (where meals are included)
- Your planned travel arrangements
This information is usually collected by email rather than through our website.
We share the information necessary to arrange your trip with the local team at your chosen destination. These are riding holiday operators based in the country you are visiting. We only share what they need to prepare for your arrival — we do not give them your full file.
We also pass your details to our payment processors in order to take your deposit and balance payments. Bank transfer payments are made to our account with HSBC. Card payments are processed by Stripe.
We are required to keep records of your booking under The Package Travel and Linked Travel Arrangements Regulations 2018 and for tax and accounting purposes.
Legal basis: Performance of a contract — we need this information to arrange the holiday you have booked. We also have a legal obligation to retain certain records.
When you sign up to our newsletter
When you sign up to our newsletter, we collect your email address. We use this to send you occasional news and offers — typically only four or five times a year.
Our newsletter is managed by Mailchimp (The Rocket Science Group LLC), which is based in the United States. Your email address is stored on Mailchimp's servers in the US. Mailchimp is certified under the EU-US Data Privacy Framework and also operates under Standard Contractual Clauses, which provide safeguards for the transfer of your data. You can read more about how Mailchimp handles data in their privacy policy, their data processing addendum, and their page on European data transfers.
You can unsubscribe at any time using the link at the bottom of any newsletter, or by contacting us directly.
Legal basis: Consent — you sign up voluntarily and can withdraw at any time.
Who we share your data with
We do not sell or distribute your information to other companies for their own marketing purposes. We share your data only where necessary to provide our services:
- Ride operators: We share your booking details with the team at your chosen destination so they can prepare for your trip. These operators are based in countries around the world.
- Mailchimp (The Rocket Science Group LLC, US): Manages our newsletter mailing list. Certified under the EU-US Data Privacy Framework.
- Stripe (US): Processes card payments for bookings. Stripe is certified under the EU-US Data Privacy Framework.
- HSBC (UK): Receives bank transfer payments for bookings.
- Amazon Web Services (AWS): Hosts our website. Our servers are located in the EU (Ireland).
- Cloudflare (US): Provides content delivery and security services for our website. Cloudflare operates under the EU-US Data Privacy Framework and Standard Contractual Clauses.
International data transfers
Some of the third parties listed above are based outside the UK and the European Economic Area. Where your data is transferred internationally, we ensure appropriate safeguards are in place:
- Mailchimp, Cloudflare, and Stripe are US-based and certified under the EU-US Data Privacy Framework. They also operate under Standard Contractual Clauses as a secondary safeguard.
- Ride operators are based in the destination country of your chosen holiday. We share only the information needed to arrange your trip. Where we transfer your data to a country without an adequacy decision from the UK or EU, we do so on the basis that it is necessary for the performance of your contract with us (i.e. arranging the holiday you have booked).
How long we keep your data
- Enquiries: We keep your emails and enquiry details indefinitely, as many of our customers return to us over the years and knowing your past preferences helps us find you the right holiday. If you'd like us to delete your enquiry history, just ask and we will.
- Bookings: We keep your booking records indefinitely. These form part of our financial records, and we are required to retain them for a minimum of seven years for accounting and tax purposes. Even beyond that period, we retain booking records as part of our business records.
- Newsletter subscribers: We keep your email address until you unsubscribe or ask us to remove it.
- Analytics data: Our web analytics are anonymised and cannot be linked to individuals.
Your rights
Under data protection law, you have the following rights:
- Access: You can ask us what information we hold about you. We'll be glad to help.
- Correction: If anything we hold is wrong, let us know and we'll put it right.
- Deletion: You can ask us to delete your personal data. We will do so where we can, though we may need to keep some records for legal or accounting reasons.
- Restriction: You can ask us to limit how we use your data in certain circumstances.
- Portability: Where we process your data based on consent or contract, you can ask for a copy in a commonly used electronic format.
- Objection: You can object to our processing of your data where we rely on legitimate interest as our legal basis.
- Withdraw consent: Where we rely on your consent (such as for the newsletter), you can withdraw it at any time.
To exercise any of these rights, please contact us at info@farandride.com or write to us at the address above. We will respond within one month.
Automated decision-making
We do not use any automated decision-making or profiling.
